For now there are a range of reports including a general ledger report you can export to capture all your data - Back up or export your data out of Xero As we increase the functionality of Xero to allow more files and types to be uploaded into more areas and looking into document storage your question about uploaded file types is important.
Thanks for raising it. Catherine, as an accountant who maintains accounts that legally belong to someone else, one of the biggest risks of Xero is that we don't control the data. As the MegaUpload case has taught us, we are always at risk of losing data. This is a bigger issue than backup actually, I trust that you've got that sorted or disaster recovery. We need to be able provide evidence to authorities to justify our accounts and tax claims - possibly years after the fact, satisfy legal requirements to keep records, answer owners questions, satisfy ethical requirements of documentation, and so on.
Xero only helps with these things while we are paying for the service, and ignores it once the service is cancelled. As we move more of our accounting data including electronic copies of invoices - an idea I love to the cloud it becomes imperative that we can reference old data. Here are two things that Xero could do to help with this: 1. The problem with the export options right now is that they only export raw data and it is VERY difficult to actually reconstruct source documents such as invoices and they don't give the attached documents.
Giving this snapshot is better in some ways than accessing the live Xero system as it is read-only, can be limited to a particular financial year, you can give it to someone without giving them access to current data, can be kept indefinitely independently from Xero's servers. By doing this Xero would be removing a major objection from prospective users. Also, by showing that you value our needs even when we have ceased to be paying users of the system you actually strengthen our loyalty.

The idea behind Xero is great but such necessities as keeping my own business data is absolutely imperative, something that I am paying for, something that I own.
Valid points from those above. I've only just realised that if I want to export my invoices and bills, I must export the files individually as PDF. That is entirely unacceptable and Xero has dropped the ball here. This is the standard with every other cloud platform I use. Wake Up Xero! I'm growing concerned that Xero are not monitoring these forums or really care about the concerns of it's customers. Wes and Peter are correct - you need to be able to get your data out.
Not necessarily to move away from Xero although that should always be a choice but because this data needs to be kept for a long time. If your business fails and you no longer want to pay for Xero, there should be an element of portability to your data so you can export and keep including uploaded files.
It would probably not be in a great format but useable enough with Excel etc. Software as a Service has it's risks. Why haven't we had this answered by now? I am seriously considering steering away from Xero altogether. Especially if we cannot rely on customer service to answer our questions. I don't expect Xero to read these pages every day or answer every question.
But it's been over 1 year and 4 months since their last post on this thread and there is more than just one person asking for a response. In fact, you can even run the same workbook against a different organisation allowing you to make easy snapshots of each. Has this still not been answered?
Many will start to leave Xero because of this restriction or signed up blindly expecting an export function to exist.
It sounds like me this is a huge sting in Xero's tail as it lures you in without an exit. I am also using another system competitor product to Xero that has the ability to download everything and the exported file contains all attachments. Hi all, we are definitely reading and taking your suggestions and feedback on board - a rather large volume as you can imagine so I'm sorry this has sat a while. As far as a one-step method to export all data and attachments, there is no change here, the steps above to export data is what you should do. We're almost due to release a new feature allowing you to upload all kinds of files to anywhere in Xero - to attach to transactions or keep in a file structure of your own.
The first version of this will focus on the upload and attachment functionality and we'll work towards a bulk download as well but it won't be in the initial version. You can also create zip archives of your data and report against any of those. Would it be that hard to create a download all functionality straight from the files overview? An archive is really required. I have moved away from Xero because I have no option to archive old data. We've put our two companies on xero and haven't been paying to much attention to paper documents they were all being scanned to xero via email. We want bills exported with all the attached files preferably a large pdf and only now we found there is no way to export all that data so much for the paperless office. There plenty of features to be added to make it usable for a technical user. Xero Files is not a database. The primary reason I did this was to keep everything in Xero, but that provides little value when text files are not browsable in the UI. Currently the application uses the Private App method. Knowing that an invoice has changed is a great feature, but the real value coming in knowing what part that invoice has changed.
A critical feature of this application would be to determine what has changed, and potentially raise these changes to the user if they particularly noteworthy. The capability to meet audit requirements in a single click would be a massive timesaver for a small business. An audit trail of invoices is nice, but to be useful it would need to expand to other accounting document types.
