As the MegaUpload case has taught us, we are always at risk of losing data. This is a bigger issue than backup actually, I trust that you've got that sorted or disaster recovery. We need to be able provide evidence to authorities to justify our accounts and tax claims - possibly years after the fact, satisfy legal requirements to keep records, answer owners questions, satisfy ethical requirements of documentation, and so on.

Xero only helps with these things while we are paying for the service, and ignores it once the service is cancelled. As we move more of our accounting data including electronic copies of invoices - an idea I love to the cloud it becomes imperative that we can reference old data. Here are two things that Xero could do to help with this: 1. The problem with the export options right now is that they only export raw data and it is VERY difficult to actually reconstruct source documents such as invoices and they don't give the attached documents.

Giving this snapshot is better in some ways than accessing the live Xero system as it is read-only, can be limited to a particular financial year, you can give it to someone without giving them access to current data, can be kept indefinitely independently from Xero's servers. By doing this Xero would be removing a major objection from prospective users. Not necessarily to move away from Xero although that should always be a choice but because this data needs to be kept for a long time. If your business fails and you no longer want to pay for Xero, there should be an element of portability to your data so you can export and keep including uploaded files.

It would probably not be in a great format but useable enough with Excel etc. Software as a Service has it's risks. Why haven't we had this answered by now? I am seriously considering steering away from Xero altogether. Especially if we cannot rely on customer service to answer our questions. But it's been over 1 year and 4 months since their last post on this thread and there is more than just one person asking for a response. In fact, you can even run the same workbook against a different organisation allowing you to make easy snapshots of each. Has this still not been answered?

It sounds like me this is a huge sting in Xero's tail as it lures you in without an exit. I am also using another system competitor product to Xero that has the ability to download everything and the exported file contains all attachments. Hi all, we are definitely reading and taking your suggestions and feedback on board - a rather large volume as you can imagine so I'm sorry this has sat a while. As far as a one-step method to export all data and attachments, there is no change here, the steps above to export data is what you should do. We're almost due to release a new feature allowing you to upload all kinds of files to anywhere in Xero - to attach to transactions or keep in a file structure of your own.
